# How to Clean Up Your HubSpot CRM in 5 Steps

A well-maintained HubSpot CRM keeps your team moving. A messy one slows everyone down: reports nobody trusts, emails that bounce, and duplicate records that make it hard to know who's talking to whom. The good news is that most CRM cleanup follows the same five steps. Here's how to work through them.

### 1. Audit and organize your segments (lists)

Lists are at the core of your CRM, and they pile up fast. Start by getting them under control.

- **Segment by what matters.** Filter contacts by engagement, lifecycle stage, or deal status to spot inactive or unqualified records.
- **Clear out lists you no longer use.** Old campaign lists and one-off imports add clutter. Remove the ones that no longer serve a purpose.
- **Combine lists that do the same job.** If several lists overlap, build one list that covers them instead of maintaining three.
- **Use folders.** Group lists by team, campaign, or purpose so anyone can find what they need.

### 2. Standardize your properties

Consistent properties are what make clean data possible.

- **Review what you have.** Audit your properties for duplicates, outdated fields, and fields nobody fills in. Consolidate or delete what isn't earning its place.
- **Set naming conventions.** A consistent naming pattern means everyone on your team knows what each property is for.
- **Keep key fields current.** Lifecycle stage, lead status, and company size drive your reporting and automation, so make sure they reflect reality.

### 3. Deduplicate your records

Duplicates clutter your CRM and cause real problems, like two reps reaching out to the same person.

- **Use HubSpot's duplicate management tool.** It finds likely duplicates based on names, emails, and company domains so you can review them in one place.
- **Merge carefully.** When you merge two records, check which values you're keeping so nothing important is lost.
- **Prevent new duplicates.** Clear data entry guidelines and well-built forms and imports stop most duplicates before they start.

### 4. Clean and enrich your data

Clean data is accurate. Enriched data is complete. You want both.

- **Remove invalid email addresses.** Email validation tools like [NeverBounce](https://www.neverbounce.com/) flag addresses that will bounce, which protects your sending reputation.
- **Fill in the gaps.** Missing job titles, company sizes, and phone numbers limit how well you can segment and personalize. HubSpot now offers built-in data enrichment, and third-party tools like [Apollo.io](https://get.apollo.io/oihnce4g7wfg), [SalesIntel](https://salesintel.io/), and [ZoomInfo](https://www.zoominfo.com/) can add even more detail. Apollo.io in particular has strong enrichment features for sales and marketing teams.
- **Deal with disengaged contacts.** Contacts who haven't engaged in a year or more drag down your metrics. Try a re-engagement campaign first, then remove or suppress the ones who still don't respond.

### 5. Keep it clean with HubSpot's tools

Cleanup isn't a one-time project. These habits keep your CRM healthy.

- **Automate routine maintenance.** Use workflows to handle recurring tasks, like moving inactive contacts to a re-engagement list after a set period.
- **Watch your data quality.** HubSpot's data quality tools show issues like duplicates and formatting problems at a glance. Pair them with a dashboard that tracks the metrics you care about.
- **Make it someone's job.** Schedule regular CRM check-ins and assign ownership, so clean data doesn't depend on someone remembering.

### The bottom line

A clean CRM comes down to five habits: audit your lists, standardize your properties, deduplicate your records, clean and enrich your data, and use HubSpot's tools to keep it that way. Do them consistently and your CRM becomes something your team actually trusts.
